Salesforce Migration to Non-Profit Cloud with Marketing Cloud Implementation

Salesforce Migration to Non-Profit Cloud with Marketing Cloud Implementation

The summary

Our client, a UK charity foundation with over 60,000 active donors running 14 fundraising campaigns a year, had outgrown its CRM. We migrated 22 years of donor history onto Salesforce Non-Profit Cloud, implemented Marketing Cloud alongside it, and moved the organisation across without interrupting live fundraising.

The Challenge

The legacy CRM held more than two decades of fundraising history in schemas that did not map cleanly onto anything. The organisation wanted all of it preserved, and it wanted the move to happen while campaigns were still running.

  • The legacy data was deep and inconsistent.

Twenty-two years of gift histories, grant data, and donor records sat in non-standard schemas, carrying inconsistent address formats, duplicate IDs, and incomplete credit attributions.

  • Fundraising could not pause for the migration.

Campaigns ran throughout the migration window, so any downtime risked gift processing during the year-end giving period.

  • Donor communications had to keep running.

Active donor journeys needed to survive the move rather than restart on the other side of it.

  • Volunteer management sat outside the platform.

A separate tool held volunteer engagement, which kept constituent data split across systems after the migration.

The Solution

We designed a phased migration using Data Loader and custom Apex scripts to handle relationship mappings between accounts, contacts, and gifts, with a staging environment that validated every donor record before cutover. Our team configured Non-Profit Cloud with custom recurring gift management, soft credit logic, and grant lifecycle tracking, implemented Marketing Cloud in parallel to carry active donor journeys across, and replaced the standalone volunteer tool with an Experience Cloud portal.

The Outcome

  • Migrated 1.2 million donor records at 99.7% accuracy, validated against the organisation's legacy reports.

  • Protected the year-end giving periodwith zero missed gifts across the migration.

  • Improved recurring donor retention by 28%on Non-Profit Cloud.

  • Preserved communication continuityby moving active donor journeys into Marketing Cloud rather than rebuilding them after cutover.

  • Consolidated volunteer engagementinto the same platform through an Experience Cloud portal, retiring the separate volunteer management tool.
